We are looking for an organized, efficient, and detail-oriented individual to join our Direct Hire & Work Permit Team in our Work Permit Coordinator role to assist in helping international camp counsellors experience summer camp in Canada! This person will have the opportunity to learn from and influence a fast-growing company and be a part of a fun, dynamic work culture.
The Work Permit Coordinator will provide support to the Direct Hire & Work Permit Team to help deliver a smooth, simple immigration process for international staff and camp directors. The Work Permit Coordinator will be expected to assist with moving our international participants through the necessary stages in our CRM system and work closely with our internal Immigration Consultant with any work permit related tasks.

- Post Commences: As soon as possible, ideally early December.
- Contract length: 8-10 months with the possibility of extension.
- Location: Toronto, Canada.

- Salary: $48,000 - $52,000 based on experience. Prorated based on contract length.
- Other Requirements: Canadian Citizen, Permanent Resident, or someone in possession of a valid open work permit that will allow employment until at least August 1st, 2023.
The responsibilities
Responsibilities
- Provide support to the Direct Hire & Work Permit Team to help deliver a smooth, simple immigration process for international staff and camp directors
- Work closely with our internal Immigration Consultant with any work permit related tasks
- Assist with moving our international participants through the necessary stages in our CRM system (online portal)
- Learn the camp counsellor work permit and different immigration rules/regulations from our internal team and through external resources, as they pertain to our participants
- Keep up with any relevant changes around the work permit process, the Government of Canada’s website, and/or travel regulations that might affect our participants
- Communicate internally with the appropriate team members and departments to ensure the process is flowing efficiently and to avoid any bottlenecks
- Communicate with camp directors and participants, as necessary
- Serve as the liaison between different internal teams about work permits to bridge the communication and knowledge gap
- Create filters and run reports on our portal to identify participants in specific stages and efficiently move them through the work permit process
- Follow up with participants via email who are missing documents and/or who have not completed certain tasks that are required
- Ensure accounts are set up correctly in our portal with proper documentation
- Verify identity documents (i.e passports) submitted to our portal
- Assist and resolve with any issues that may arise at the border
- Gain an understanding of the Government portal submission process
- Maintain an organized electronic file system of documents
- Collaborate with the team on best practices and ways to improve processes
- Update guides and templates regarding the work permit process, as necessary
- Run weekly status reports to better assess productivity and to identify any inefficiencies
- Actively participate in company and team meetings
- This job may include work in other areas/departments of the organization, during certain times in the season, and will be assigned by your Line Manager or HR

- Work Permit/Immigration knowledge is not required, but must demonstrate interest and the ability to learn and comprehend this process
- Dedication to keeping organized with a high level of integrity and professionalism
- Complete tasks in a timely manner and work independently as a self-starter
- Able to move between different focuses as and when required
- Demonstrate creativity, leadership, initiative, enthusiasm and a positive attitude
- Contribute to a positive working environment
- Able to work long hours during busy periods
- Ability to work well in a fast-paced environment with continuous changes and adjustments, especially in light of the effect COVID may have on cultural exchange programs in 2022-2023
- Excited about the core mission and values of Camp Canada, and demonstrate a clear understanding of the program
- Personable, engaging and able to connect with participants when needed
Skills & Experience
- Proficient in G-suite, Slack, Mailchimp
- Experience in or comfortable using CRM software
- Organized and detail-oriented
- Experience in a work permit/immigration, legal, or administrative role is an asset
- Experience working at a camp or within the outdoor industry is very beneficial
- Experience travelling and/or working abroad is an asset
- Able to communicate in English
- The ability to communicate in Spanish is an asset
